Document management through programming

At every enterprise, it is important to competently organize document management, especially when it comes to car dealerships.  The Document Management System (DMS) module, or rather the dealership software, is intended to help with this.

 

The DMS system allows you to reconcile the attached documents using SAP Workflow: use different statuses and notify users about their changes.  Also, the DMS module implements a flexible reporting system for controlling the life cycle of documents.

The document management system allows an enterprise to maintain cards of any documents to objects in SAP ERP with the ability to attach scan images of various formats.

In the DMS system, you can choose the storage location depending on the needs of the business.  Documents are stored on SAP Content server or OpenText archive server.  The SAP ERP delineation of authority is used.

SAP DMS functionality:

* storage of electronic originals of documents on the SAP Content Server or on the OpenText archive server;

* built-in viewer;

* management of electronic originals of documents;

* status management;

* coordination of documentation (Workflow);

* access to documents in the user's environment.

DMS is integrated with SAP ERP modules.  In the DMS card, you can set up a link to any SAP objects: for example, material master, asset card, piece of equipment, invoice, order, etc.

 

Since the purpose of using a DMS is to simplify and reduce the time it takes to complete standard business processes and procedures, ideally the system should cover all business processes of a car dealer.  The system contains tools for setting up and managing business processes and individual functions of enterprise employees, and allows you to organize a transparent and convenient management process at any level.

 

The inventory management module provides for the possibility of dividing the item into groups according to liquidity, price, stability of consumption, and novelty.  Each of these uses separate ordering, stocking and pricing rules.

When using DMS in a dealership, an employee of the car sales department, adding a package of additional equipment to the sale transaction, at the same time forms a service work order.  This allows the auto center to dispense with the standard unit of an additional equipment specialist.

 

Thus, the system takes over part of the processes - notifies customers about the arrival of spare parts, generates proposals for ordering parts, guided by the accumulated statistics, congratulates customers on their birthday, allows you to set tasks in the planner, etc.

 

Therefore, it is really a very useful and necessary thing that everyone who wants to automate the work of their enterprise should have.
