Supporting adequate service levels: Most businesses require high levels of service in terms of working continuous hours. ECM availability, planned or unplanned, increases the cost and complexity of the platform.

Software Management of software licenses: On-premises ECM platforms typically hold multiple licenses, including a server installation license and a user license component. Consumer licenses are usually based on a fixed number of users, so license purchases may involve some redundancy and higher capital costs than necessary. The need to fund licenses for development, quality assurance, production environments, and business continuity environments will also increase the higher overall license costs.

The market for cloud services around ECM is large and includes cloud-based tools for scanning, optical character recognition, and AI-driven tagging and classification. Integrating the on-campus ECM platform with cloud services is complex, limited by network capability and integration techniques.

Meeting control requirements: It is challenging and costly to ensure that the assets in the on-premises ECM system comply with regulatory requirements. For companies that do business internationally, country-specific regulation dictates that information assets be stored within those countries. This requires the company to engineer a global ECM platform. GDPR is an example of content-specific control that has forced many to move to a cloud-based ECM that can enforce content rules based on geographic location.

IT capacity management: Introducing any IT platform to the company will affect the IT infrastructure resource requirements. The resilience provided in the cloud environment facilitates maintenance and capital costs compared to the on-campus platform.

High provides a high level of service: Digital transformation programs should always have an agreement or service-level agreement (SLA) with the business on business availability. For example, is the platform available 24/7? How does the seller arrange an idle time for routine maintenance and what impact does this have on the business? Internal datacenters and on-premises platforms present challenges and high costs for services to SLAs. Cloud services, on the other hand, are geared to provide a wider and higher level of services.

Software Automates & updates: Cloud service providers routinely update software with bug fixes and feature improvements. The IT team may apply routine maintenance updates to traditional on-premises software installations but often lag behind due to internal resources required to update the software or the impact on SLAs.

Vendors who have on-premises and cloud versions of their software prefer the cloud version with frequent and regular updates, while on-premises versions experience less frequent updates.
