Thank you letter tips

Thank you letter tips

A thank-you letter is an e-mail or letter that is formulated by applicants following an interview and addressed to HR managers. The purpose of the thank you letter is to say thank you for the interview and to remind HR managers.

The purpose of the thank you letter

A thank-you letter after the interview is not the rule in Germany, but it can provide additional plus points. Applicants have the opportunity to show their interest in the advertised position with the HR manager and convey commitment and motivation at the same time. In addition, they bring themselves back to mind with HR professionals and stand out from the crowd and write my essay.

The wording of the thank-you letter should still be simple, non-binding, and short. With demands, long papers, or ingratiating formulations, the candidate quickly makes an unprofessional impression and runs the risk of worsening his chances in the application process or even be eliminated.

In what form is the thank you letter sent?

The thank-you letter can be sent either by email or by post. Which of the two paths is chosen can be decided individually. Both ways have advantages and disadvantages. The traditional postal letter is suitable for conservative companies, e.g. from commercial areas or banking, and is more noticeable than an e-mail, which can easily be overlooked or simply clicked away. Depending on who the postal thank you letter is addressed to, it can also quickly give the impression that the candidate is old-fashioned and may not fit well into the company. Candidates who apply to agencies or to companies that have put their focus on the digital sector, on the other hand, are better advised to send a thank you letter by email.

When is the best time to send a thank-you note?

A thank you letter should be sent as soon as possible after the interview. A maximum of 48 hours after the interview. In this way, candidates do not run the risk of being forgotten by HR managers and applicants also have the opportunity to positively influence the outcome of the application process. If an email is sent, candidates should pay attention to the day and time. Anyone who sends the thank-you letter by e-mail too late in the evening, i.e. after 7 p.m., has to expect that HR managers will no longer read the e-mail on the same day and that it will no longer be noticed the next day among many other e-mails. It makes the most sense to send the thank you letter between 6 a.m. and 10 a.m. or shortly after the lunch break between 1 p.m. and 4 p.m. HR managers regularly check their e-mail inboxes during these periods. The day of the week also plays a role in sending the thank you letter. Mondays and Fridays should be avoided. On Mondays, HR managers structure themselves for the entire week and work off emails that were left behind from the previous week or that arrived over the weekend. Fridays are only suitable in the morning hours, as many HR managers leave work earlier than usual on Fridays. that were left behind from the previous week or that arrived over the weekend. How long is a thank you letter?

The thank-you letter should not be a detailed retelling of the entire interview, but should only serve to thank you for the invitation and to confirm your interest in the advertised position and the company. For this reason, the thank you letter should be as short as possible and not be longer than half an A4 page or a maximum of 100 to 150 words in an email.

Who will the thank you letter be sent to?

The thank you letter is a response to the interview and should therefore be addressed to the person who invited the applicant to the interview. In many large companies it is the rule that it is not the head of the department who invites, but a recruiter who is commissioned to look for a suitable candidate for an advertised position. In this case, it makes sense to forward the letter of thanks to the person in the department with whom the applicant will work in the future or who will make the hiring decision. This can be the department or team leader, for example.

What is the structure and content of a thank you letter?

A thank-you letter is also divided into an introduction, main part, and conclusion. There is still a small difference between a thank you letter that is sent by email and one that is designed as a business letter by post.

Thank you letter by email

The thank you letter by email is less personal than a postal thank you letter. Neither the high-quality paper nor beautifully handwritten text can spoil an impression. That is why the text of a thank-you e-mail is very important. This should be worded as personally as possible.

  1. Subject:

Whether HR managers open the e-mail or immediately sort it away can already be decided by naming the subject of the e-mail. It makes the most sense to name it as clearly as possible so that HR managers can assess and classify the content of the email. The subject should contain the reference to the interview and the date on which it took place. It is also a good idea to list the position for which an applicant has recommended himself and include a thank you in the subject and Buy research papers online.

For example, the subject could read: " Thank you for the interview for the position [XY] on [date]."

The applicant's name does not have to be included separately in the subject of the thank-you letter, as this is already announced via the e-mail address.

  1. Personal greeting:

The personal address in the thank-you letter should be personal. “Dear Sir or Madam” should be avoided. It is better to name the person in the thank-you letter who invited you to the interview or who decides on your appointment. Care should be taken to ensure correct spelling. The following formulation is common: "Dear Ms / Mr [last name]."

  1. Acknowledgments related to the interview:

The purpose of the entire email should be clear from the first few sentences of the thank you letter. The applicant should thank you for the invitation to the interview and continue to express his interest in the advertised position. In addition, it makes sense to go back to the added value that the applicant would deliver to the company and name one to three of the most important talents and qualifications through which the applicant is convincing in everyday work.

The following formulation would be conceivable:

"Concerning our interview on XX.XX.XXXX, I would like to thank you for the very informative and insightful meeting. During our conversation, I noticed particularly positively that your requirements for the position match my ideas and qualifications well and that I can now imagine working for you as an [position] even better. In addition, I am convinced that with my analytical understanding as well as with my motivation and commitment I can positively influence the company's success and will be a valuable member of the team. "

4th final sentence:

In the final sentence, applicants have the opportunity to confirm that they are looking forward to working with them.

An example of a formulation could be the following:

"Due to the very positive impression I got of the position and the company during the interview, I would be very happy to work with you and essay."

  1. Greetings

The thank-you letter should end with a greeting. The most common greeting is "Kind regards".

  1. Signature

Finally, the thank you letter should be handwritten. If the thank you letter is sent by email, the signature should be used digitally.
