What is a Management System? What does it mean?

This is one of the most frequently asked questions from our prospects and although it is not easy to explain, it is one of the best things you can do to run a successful, high-quality business.

In this blog, our goal is to make it clear what it means to have a management system built and successfully implemented in your business. Ready for certification of the most popular, internationally recognized ISO management system standards, such as ISO 9001 for Quality Management, ISO 14001. for Environmental Management and ISO 45001 for Management Occupational Health and Safety.

To give you an idea of what is required, a management system in a small or medium enterprise can be created simply as an electronic folder structure kept on your server or in the cloud, consisting of sections such as:

  • Company policies
  • Management, support, and operational procedures
  • Templates and registers
  • Business planning documentation

Larger organizations can sometimes have these items (e.g. policies, procedures, templates, etc) already embedded as part of their particular operational software tools that are in place across the business.

This depends on the ISO management system standard(s) you decide to implement in your business, as well as on what the organization does and needs - the way it conducts its business.

Documented business planning information from planning activities, such as identification of business stakeholders and their needs, SWOT analysis (Strengths, Weaknesses, Opportunities, and Threats), company goals and objectives and management plans, assessment of risks and opportunities, and a business continuity plan.

Policies, which include, among others, the Quality Policy, the Risk Management Policy, and the Code of Conduct;

Management procedures, such as statutory and other requirements procedures, non-conformance management, internal audit procedures, etc.;

Support procedures including document control, human resource management, change management, and external vendor management, to name a few;

Basic/operational procedures such as bidding, sales, manufacturing, warehousing, dispatch, etc. s

Forms and records that can be consulted in the above procedures, and should be accessed by the relevant responsible personnel and used regularly or as needed.
