Rooms are the main concern for both Front Office and Housekeeping department, and with proper communication proper exchanging of the Information about the room status is an important task for both departments. The Front office management, which maintains the records of the arrival of the guests is the responsible department that should convey the housekeeping department well in advance so that the Housekeeping department should be prepared a day before. As the duties of the Housekeeping are finished then only the Front office department can assign the rooms to the new guests. In this way, the coordination between both the departments is an essential part of the functioning of the Hotel.

In Hotels, every night a report is generated called the night report, which has a record of the occupancy of the rooms, according to that report the cleaning is scheduled to the room for the next day which is occupied by the Hospitality department. After Check out of the Guests, the front office releases the notification to the Housekeeping department; the cleaning of that room is kept in top priority, to make that room immediately available for sale. For ensuring the efficient rooming of the guests, both departments are responsible for reporting the status of the room, which can be under repair, out of order, etc.

As the unoccupied rooms are cleaned, the attendant from the Housekeeping Department informs the Front Office department, and then the status of the room is updated as ‘Vacant’.
