10 Critical Considerations for Cloud-Based ECM part-1

Moving enterprise content management to the cloud seriously comes with huge benefits — overall costs are lower. The process becomes faster and governance becomes much easier. These are just some of the brightest apples for the business, but — and this may surprise you — we advise you to wait before you rush through a project.

1. Content — where what and why
Even if you are not currently planning to migrate, this is a valuable exercise. For security, good governance, and financial responsibility, we clearly recommend documenting:
Where your content is stored.
What kind of material and size do you have?
Why are you holding it?
The beauty of this exercise is that you can discover the content that you no longer need, the content that can be stored better, and the costs that you can avoid.


2. Be careful with storage
Cloud storage costs vary depending on content security and compliance standards and access frequency. Once you’ve identified the features of your content, you can determine which storage makes more sense — and you don’t have to choose just one. It is possible that you have content that needs to be kept, but it may remain inactive, as well as content that must be highly available. Knowing your storage needs in advance gives you the freedom to create a smart solution.

3. Determine your database
In most cases, database migration requires exporting from the on-premises environment and then importing into the cloud environment. Your plan should include:

4. Strict security
In deciding who can access the documents, you need to determine who can access the cloud environment, applications, ports, and more. At the very least, you should specify:

Which inbound and outbound ports are required.

5. Be careful with the layout of the content
When planning the layout of content for import into the new cloud environment, we recommend capturing the following:
Content model
Data protection standards include creation and modification dates.
Folder structure
Version
Presentations.
Annotations.
